# AI Receptionist vs Human Receptionist: How to Choose in 2026

6 October 2026 · Build My Digital

Pick a human receptionist if your phone rings all day and you can keep someone at the desk for every opening hour. Pick an AI receptionist if what you lose is the calls nobody answers: after hours, at lunch, mid-job. For most local businesses it's the second: when nobody can pick up, those calls go to voicemail.

Callers do prefer people, and we'll show you the numbers on that below. The catch is that a person only helps if one is there to pick up. This guide sets out the five ways a small business can get its phone answered, what each one involves, the questions to ask before you pay for any of them, and what ours costs.

**Key takeaways**

- In a June 2026 poll of 2,046 UK adults, 90% said they prefer speaking to a real person when they contact a business, and only 2% said they'd rather deal with an AI system.

- In another 2026 survey of 663 UK consumers, 82% said it matters that a brand's AI clearly says it's an AI.

- A receptionist is a person on your payroll, with holidays, sick days and opening hours. They don't answer at 9pm or while they're on their break.

- The choice is rarely all one or all the other. The setup that suits most small businesses is your own phone first, with an AI receptionist taking the calls you miss.

- Our [Voice Agent](https://buildmydigital.co.uk/voice-agent/) is **£299** to set up, then **£149 to £399 a month** by call volume, or **£500 to £2,000 a month** with a UK-based human team behind it.

## What UK callers actually prefer

If you're worried your customers would rather talk to a person, you're right. In a [nationally representative poll of 2,046 UK adults](https://www.businessmole.com/new-research-shows-majority-of-brits-still-prefer-human-interaction-despite-rise-in-ai-technology/), run from 5 to 8 June 2026 and commissioned by a UK telephone answering firm, 90% said they prefer a real person when they contact a business. Only 2% preferred an AI system such as a chatbot or an automated phone service. Bear in mind who paid for it: a company that sells human answering has every reason to publish that result.

A second 2026 study, a [survey of 663 UK consumers](https://www.invoca.com/uk/press-release/new-invoca-study-finds-consumers-wont-wait-ai-gives-brands-the-speed-to-win-the-sale) who had researched and made a high-stakes purchase in the last 12 months, found that 82% say it matters that a brand's AI clearly identifies itself. People don't want to be fooled into thinking they're talking to a person. The phone itself still matters as well: in [2025 research published by a national polling firm](https://yougov.com/en-gb/articles/51967-a-deep-dive-into-british-customer-service-preferences), 65% of Britons said they tend to contact businesses by telephone, while only 1% said they prefer chatbots.

So the starting point is simple: given the choice between you and an AI, your caller picks you. What's left to decide is what happens on all the calls where you can't be the one who answers.

## The real choice is usually AI or voicemail

Most local businesses don't have a spare person waiting by the phone. The owner answers between jobs, or someone on the team steps out of an appointment to grab it. When nobody can, the call rings out or goes to voicemail.

Our own records show how often that happens. When our caller rang 238 UK local businesses between 21 Sep and 30 Sep 2026, 216 (91%) did not pick up on the latest call: 119 rang out and 97 went to voicemail. More of those unanswered calls rang out with no voicemail at all than reached a voicemail box, so the caller couldn't even leave a message.

That changes the question. For a caller who rings at 7pm, your receptionist has gone home, so the only thing that can answer is an AI. A caller who gets nobody usually rings the next business on their list, which is why we wrote up [what calling a lead back in 60 seconds really does](https://buildmydigital.co.uk/blog/does-calling-a-lead-back-in-60-seconds-really-work/). To see what your own unanswered calls cost each month, put three of your numbers into the [missed call calculator](https://buildmydigital.co.uk/missed-call-calculator/): calls missed a week, what a job is worth, and how many of those callers would have booked.

## The five ways to get your phone answered, side by side

Here are the options a small business has, set out on what each involves. The only prices shown are ours. The other options cost what your own wages, time or provider charge, so we've left those blank rather than guess.

| Option | When calls get answered | Who does the work | What the caller gets | Our price |

| You answer, voicemail catches the rest | When you can get to it | You, between jobs | You, or a beep | Not something we sell |

| Employ a receptionist | Their working hours | Your employee | A person who knows your business | Not something we sell |

| Human message-taking service | Hours you pay for | An outside team on a script | A message taken for you to call back | Not something we sell |

| AI receptionist | Every hour, every call | The AI, set up on your details | Answered instantly, booked into your diary, summary texted to you | £299 setup, £149 to £399 a month |

| AI receptionist plus human team | Every hour, every call | The AI first, a UK-based team for the harder calls | A booking for routine calls, a person for complaints and judgement calls | £500 to £2,000 a month |

## When a human receptionist is the right call

Employ a person if your phone is busy all day, the calls need judgement more than booking, or your callers are the ones most likely to want a human: older customers, people with a complaint, people with bad news. A good receptionist knows your regulars by voice, spots the awkward booking before it becomes a problem, and does a dozen other jobs between calls.

The cost isn't only the wage. A receptionist is entitled by law to [5.6 weeks of paid holiday a year](https://www.gov.uk/holiday-entitlement-rights), on top of the [employer National Insurance and pension contributions](https://www.gov.uk/employing-staff) GOV.UK lists for anyone taking on staff. When they're on holiday, off sick or at lunch, someone else answers or nobody does. A receptionist also goes home, and plenty of people ring in the evening once their own working day is done.

## When an AI receptionist is the right call

An AI receptionist earns its place when your problem is the calls nobody picks up. That's most sole traders and small teams: a plumber under a sink, a hairdresser mid-colour, a dentist's reception at lunch. It answers every call at any hour, works from the services, prices, hours and policies you give it, books into your live diary, and texts you a summary of each call. The unusual calls get handed to you.

It doesn't have to replace anyone. With ours, you choose how it covers you: your phone rings first and the agent only picks up when you don't, after about 20 seconds, or it answers every call from the start. You keep your existing number, so nothing on your vans, cards or Google listing changes.

What it can't do is everything a person does. It knows only what it's been given. Ours won't make up a price or a policy; anything it doesn't know comes to you. An AI that does make things up will cost you, as [one airline's chatbot ruling](https://buildmydigital.co.uk/blog/what-the-air-canada-chatbot-ruling-means-for-your-site/) showed.

## How to choose between an AI and a human receptionist

Before you pay for either, answer these questions honestly:

- **When do your calls actually go unanswered?** Check your phone's missed call list for a fortnight. If the misses are evenings, weekends and mid-job, you have a coverage gap a person can't easily fill.

- **What do most callers want?** If it's to book, rebook or ask your prices, an AI can handle that. If it's mostly complaints or sensitive conversations, you want a person.

- **Does it tell callers it's an AI?** Ask any provider whether it says so up front or only when a caller asks. Ours says so whenever a caller asks.

- **Does it only know what you've told it?** It should work from your real services, prices and policies, and pass you anything it doesn't know.

- **Can it book into your real diary?** A message you have to call back is slower than a booking made while the caller is still on the line.

- **Can you test it before customers hear it?** You should be able to ring it yourself and get it corrected until it sounds right.

- **Can you leave without losing your number?** Your number should be yours, with no exit fees and no lock-in.

## What ours costs, and how to try it

Our [Voice Agent](https://buildmydigital.co.uk/voice-agent/) is £299 to set up, then £149 to £399 a month depending on call volume. Your exact monthly figure is fixed in writing before it goes live and stays flat from there. If you need people behind it, the tier with a UK-based human team is £500 to £2,000 a month, priced on your hours and call volume. Cancel any month, and your number goes straight back to ringing your own phone.

You can try it for 7 days with no card. During the trial it answers only the calls you miss: you divert your unanswered calls to a number we set up, so your phone still rings first. It takes a message or books a callback, never quotes a price or takes a payment, and at the end you get a list of every call it caught.

If your enquiries come in by chat or Instagram as well as the phone, our [AI agents](https://buildmydigital.co.uk/ai-agents/) cover those the same way. Missed-call text-back comes with [Starter](https://buildmydigital.co.uk/care-plans/) at £39 a month, and every other price we charge is on the [pricing page](https://buildmydigital.co.uk/pricing/).

## Check what callers see before they ring

Most people look you up before they call. If your number isn't one tap away on a phone, some of them never ring at all. The [48-check scan](https://buildmydigital.co.uk/scan/) looks at your website the way a customer's phone does, including whether your number works as a click-to-call link, and lists the fixes in priority order.

## Common questions

### Will customers hang up on an AI receptionist?

Some will. Most UK callers say they prefer a person, so answer the phone yourself when you can. The AI is for the calls you'd otherwise miss, and anyone who wants a person can be passed to you.

### Is an AI receptionist worth it for a small business?

It's worth it if you miss calls that would have turned into work. Count your missed calls for two weeks and run them through the [missed call calculator](https://buildmydigital.co.uk/missed-call-calculator/). If one booked job a month covers the cost, it pays its way.

### Can an AI receptionist and a human receptionist work together?

Yes, and that's often the best setup. The person answers during the day, and the AI takes the overflow, the lunch break and the evenings. For busier businesses, our top tier puts a UK-based human team behind the AI for complaints and judgement calls.

### Does the caller know they're talking to an AI?

Ours tells them if they ask, and we tune its voice and wording until it sounds like your front desk. If being told up front matters to your callers, ask any provider how its receptionist handles that before you sign.

### What your missed calls cost you.

**£780** a month

£180 a week, £9,360 a year, going to whoever answers first.

As an example from these numbers, **£631** a month is left over after the receptionist ’s £ 149 starting price. Illustrative only, not a promise of earnings.

These are example numbers. Change them to your own. Worked out as 5 missed calls a week, times £120 , times the 30 % who would have booked, then over a month (52 weeks divided by 12).

A receptionist that answers every call in seconds, day or night, is £149 to £399 a month. It has to pay for itself in the first month, or you get every penny back, setup included.

Both calculators, calls and messages, on one page: [the missed call cost calculator](https://buildmydigital.co.uk/missed-call-calculator/).

Want the version of this with your name on it?

Run the free scan on your current site, 48 checks including AI search, no charge, or ask for your free website: we build it first, then the systems that get you booked. £39 a month keeps us working on it to bring you more customers. It starts the month your site goes live, and if you’re not busier after six months, you get every penny back. There is no obligation either way.
