What an AI Chatbot Costs a UK Small Business in 2026

9 October 2026 · Build My Digital

The live hero section of Build My Digital's AI agents page, headed "An assistant that never misses a call."

An AI chatbot for a small business website costs a monthly subscription if you build it yourself on a chatbot builder, plus your hours setting it up. Having one built for you is a quoted job: ours is £499, fixed in writing before we build.

The price is only half of it. A chatbot that guesses can cost you more than it saves, and plenty of your customers would still rather ring. This guide sets out what each kind of chatbot involves, how many small firms actually use one, the questions to ask before you pay, and what ours includes. Where we say chat agent, we mean a chatbot built and trained for one business, on that business's own details.

Key takeaways

  • In the government's UK Business Data Survey 2026, 4% of micro businesses (up to 9 staff) and 6% of small businesses said they use AI for customer service chatbots, against 21% of large firms.
  • In 2025 research on British customer service, only 1% of people said they prefer to contact a business by chatbot, though 18% said they use them. Email and the phone are what most people choose.
  • A chatbot earns its place when questions arrive while you can't answer them: evenings, weekends, mid-job.
  • It should answer only from your real services, prices and hours, and pass anything else to you.
  • Our site chat agent is £499, quoted fixed and in writing. Missed-call text-back comes with Starter at £39 a month.

How many small businesses actually use an AI chatbot?

Fewer than the adverts suggest. Between October 2025 and January 2026, the government's UK Business Data Survey 2026 asked 4,090 UK businesses that handle digital data how they use AI. Customer service chatbots came in at 4% for sole traders, 4% for micro businesses with up to 9 employees, 6% for small firms with 10 to 49, and 21% for large firms with 250 or more.

So if you add one, you'll be early among businesses your size. Few of your customers will expect a chat box on a local firm's site, which means a good one gets noticed, and so does a bad one.

Do customers actually want to talk to a chatbot?

Mostly, no, and it's worth knowing before you spend anything. In 2025 research by a national polling firm, 33% of Britons named email and 31% named the phone as the way they prefer to contact a business. Only 1% said they prefer chatbots, yet 18% said they use them. Younger people lean further towards typing: 15% of Gen Z said live chat is their preferred channel.

Here's how we read that. Nobody visits your site hoping to talk to a bot. They want a quick answer to one question (do you do Saturdays, what does a full set cost, do you cover my postcode), and at 11pm they'll take it from whatever is there. That's the job a chat agent is good at, and it should always sit beside your phone number and email address, never in place of them.

What are your chatbot options, side by side?

Here are the ways a small business can answer the questions people type into its website. The only prices shown are ours. The others depend on your own time or on what a provider charges, so we've left them out rather than guess.

Option When questions get answered Who does the work What the customer gets Our price
Contact form or email address When you next check You, later A wait for your reply Not sold separately
A written FAQ page Any time, if they find it You write it, then keep it current Answers to the questions you thought of Not sold separately
Do-it-yourself chatbot builder Any time You: setting it up, writing its answers, checking what it says As good as the time you put in Not something we sell
Button-menu bot Any time Whoever scripts each path Set answers to set choices, and a dead end for anything off the menu Not something we sell
Live chat you answer yourself When someone is watching it You or your team A person, if one is free Not something we sell
AI chat agent built for you Any time Us, from your services, prices and hours; you approve it first Typed questions answered, a booking request saved, anything unusual passed to you £499, fixed quote

When is a do-it-yourself chatbot builder enough?

A builder can be enough if you have a handful of questions that rarely change and the time to set it up and test it properly. You pay the subscription, then put in the hours: writing the answers, connecting it to your site, and asking it awkward questions to see what comes back.

Testing is the part people skip. A chatbot says what its settings let it say, and some will fill a gap with a confident guess. When that guess is wrong, the business is the one held to it, as one airline's chatbot ruling showed. If it collects a customer's name, number or anything else about them, data protection law applies too. The UK's data regulator says in its guidance on AI and data protection that when buying in an AI service, "you must choose one which allows individual rights to be protected and enabled."

When is it worth having a chat agent built for you?

Have one built when the questions come in while you're busy: a hairdresser mid-colour, a plumber under a sink, a clinic between appointments. A chat agent built for you works only from your real services, prices, hours and policies. It answers the routine questions, saves a booking request with the customer's name, what they need and when they want it, and passes anything unusual to you. You read it in the morning and confirm the slot.

Most local websites aren't ready for one yet, because the answers were never written down. 68% of 22 local business websites our scan checked between 3 Aug and 9 Oct 2026 failed "Question-and-answer content" (15 of 22). On those sites, the page our scan read had no heading written as a question, which is the simplest sign that a business has set its answers out in writing.

A chat agent can only give answers that exist somewhere, so the build starts with yours: your services, prices, hours, the areas you cover and how you handle the awkward questions. You review what it knows before it goes live, and nothing goes live until you've seen it and said yes.

How to choose: what should you ask before you buy a chatbot?

Ask these before you pay for any chatbot, ours included:

  1. Where does it get its answers? It should work only from your own services, prices, hours and policies, not from whatever it finds online.
  2. What does it do when it doesn't know? It should say so and pass the question to you. A guess about a price or a policy is the expensive mistake.
  3. Can you test it before customers see it? You should be able to ask it anything and have it corrected until it answers the way you would.
  4. Does it say it's an AI when asked? Ours answers honestly if a customer asks whether they're talking to a person.
  5. What happens to the customer's details? Ask where the chats are kept and who can read them.
  6. What will you pay, and when? Get the full price in writing before you start, including anything charged after the first month. Ours is quoted fixed and in writing before we build, so you have the number before any work starts.
  7. Does it leave your phone number in plain sight? Most people still prefer to ring or email, so a chat box should sit next to your number, not hide it.

What does ours cost, and what comes with it?

A site chat agent trained on your business is £499, quoted fixed and in writing before we build. It answers from what you've told it and hands the unusual questions to you. Bigger jobs, such as automations that run across several of your systems, are quoted per job in writing, and you'll always have the number before we start. To see one working, ask the chat box on our AI agents page anything about us: it's a chat agent trained only on our own site, and yours would answer your customers the same way.

Chat is one way people reach you. If your enquiries also come by phone, our Voice Agent answers the calls you miss for £299 to set up, then £149 to £399 a month. We compared it with hiring a person in AI receptionist vs human receptionist. If they come by Instagram message, the AI DM setter is the same price. Missed-call text-back comes with Starter at £39 a month. To work out what your own unanswered enquiries cost you a month, put your figures into the missed call calculator.

How fast you reply matters as much as whether you reply. We looked at what calling a lead back in 60 seconds really does, and at how many times to follow up with a lead who goes quiet.

If your site needs work before a chat box is worth adding, the website is built free with Starter at £39 a month, starting the month it goes live. If you're not busier after six months live, you get every penny back, measured on your own Google numbers. Every other price is on the pricing page.

How do you check whether your site is ready for a chatbot?

Run the 48-check scan on your site first. It reads your site the way a customer's phone does and tells you whether you have question-and-answer content, an online booking system and a click-to-call phone link, then lists the fixes in priority order. If those basics are missing, fix them first: a chat agent works best on a site that already answers people.

Common questions

How much does an AI chatbot cost for a website?

A do-it-yourself chatbot builder is usually a monthly subscription, plus the hours you spend setting it up and testing it. A chat agent built for you is a quoted job. Ours is £499, fixed and in writing before we build.

Is an AI chatbot worth it for a small business?

It's worth it if people ask the same questions when you can't answer: evenings, weekends or mid-job. If almost everyone rings you in working hours, answer the phone well first and add chat later.

Will an AI chatbot make things up?

Some will, if they're allowed to answer from outside your own details. Ours works only from your services, prices, hours and policies, and passes anything it doesn't know to you. Test any chatbot with awkward questions before it goes live.

Do I need a chatbot if I already answer the phone?

Not always. A chatbot helps with the people who would rather type, or who are looking at your site late at night when nobody can pick up. Keep your number on every page as well, because most people still prefer to ring or email.

Missed call calculator

What your missed calls cost you.

£780 a month

£180 a week, £9,360 a year, going to whoever answers first.

As an example from these numbers, £631 a month is left over after the receptionist’s £149 starting price. Illustrative only, not a promise of earnings.

These are example numbers. Change them to your own. Worked out as 5 missed calls a week, times £120, times the 30% who would have booked, then over a month (52 weeks divided by 12).

A receptionist that answers every call in seconds, day or night, is £149 to £399 a month. It has to pay for itself in the first month, or you get every penny back, setup included.

Want the version of this with your name on it?

Run the free scan on your current site, 48 checks including AI search, no charge, or ask for your free website: we build it first, then the systems that get you booked. £39 a month keeps us working on it to bring you more customers. It starts the month your site goes live, and if you’re not busier after six months, you get every penny back. There is no obligation either way.
